1. Who we are
Stellar Study Tutoring is a tutoring business operating in Adelaide, South Australia. We provide in-person one-on-one tutoring and small-group programs. You can contact us at admin@stellarstudytutoring.com about anything in this policy.
2. What we collect
We collect only what we need to arrange and deliver tutoring. Depending on your relationship with us, this may include:
Parents and guardians
- Name, email address, phone number, suburb and postcode;
- Home address, where lessons are delivered in your home;
- Payment card details, held by our payment provider (see Section 8);
- Records of lessons, invoices, payments and correspondence with us.
Students
- First name and year level;
- Subjects, school, and the areas your child needs help with;
- Lesson notes, progress updates and any learning needs you choose to tell us about.
Tutors and applicants
- Name, contact details, address and availability;
- Working with Children Check number and expiry, and driver’s licence details;
- Qualifications, academic history and employment history;
- ABN, invoices and payment details.
3. How we collect it
We collect personal information directly from you, through:
- Enquiry and booking forms on our website;
- Phone calls, emails, SMS and WhatsApp messages;
- Your account in TeachWorks, our parent hub;
- Tutor applications and interviews;
- Our website’s analytics (see Section 10).
Where we collect information about a student, we collect it from the parent or guardian rather than the student directly, except for information given to a tutor during a lesson.
4. Why we collect it
- To respond to your enquiry and arrange a free first lesson;
- To match your child with a suitable tutor and schedule weekly lessons;
- To deliver lessons, track progress and report back to you;
- To process payments, issue invoices and keep accurate records;
- To communicate with you about your lessons, including through your WhatsApp group chat;
- To verify that tutors hold a current Working with Children Check;
- To meet our legal, tax and child-safety obligations;
- To send you marketing communications, where you have agreed to receive them.
5. Who we share it with
We do not sell personal information. We share it only with the service providers we use to run the business, and only as far as they need it:
| Provider | What they handle |
|---|---|
| Your tutor | Student’s first name, year level, subjects, address or venue, and lesson notes |
| TeachWorks | Scheduling, lesson records, invoices and account details |
| Stripe | Payment processing and stored card details |
| GoHighLevel | Enquiry records, contact details and email or SMS communications |
| Squarespace | Website hosting and form submissions |
| WhatsApp (Meta) | Group chat messages with your family and tutor |
| Website analytics and advertising |
We may also disclose personal information where required or authorised by law, including our child-safety and mandatory reporting obligations.
6. Overseas storage
Several of the providers listed above store data on servers outside Australia, including in the United States. By engaging our services you consent to your information being stored and processed overseas by those providers. We choose providers that publish their own privacy and security commitments, but we cannot control their practices beyond our agreement with them.
7. Children’s information
Tutoring involves information about children. We collect the minimum we need to teach well, and we treat it carefully:
- A student’s information is provided by their parent or guardian, who may access or correct it at any time;
- We share it only with the tutor assigned to that student and the Stellar Study team;
- We do not use students’ names or images in marketing without written consent from a parent or guardian;
- Every tutor holds a current Working with Children Check.
8. Payment information
Card details are entered into and stored by our payment provider, not by us. We can see only the information needed to identify a card, such as the last four digits and expiry date. Card details are deleted when tutoring ends, subject to our payment provider’s processes and any legal record-keeping requirements.
9. Marketing communications
We send marketing emails and messages only to people who have agreed to receive them. Every marketing message identifies us as the sender and includes a way to unsubscribe, and we action unsubscribe requests promptly. Messages about your own lessons — scheduling, invoices, reminders, progress — are not marketing and continue while you are a client.
10. Cookies & website analytics
Our website uses cookies and similar technologies to keep the site working, understand how visitors use it, and measure our advertising. This may include Squarespace’s own analytics, Google Analytics and Google Ads. You can block or delete cookies in your browser settings; some parts of the site may not work as well if you do.
11. How long we keep information
- Client and lesson records: for the duration of tutoring and for seven years afterwards, to meet tax and record-keeping obligations.
- Payment card details: deleted when tutoring ends.
- Enquiries that do not become clients: up to two years, then deleted.
- Tutor records: for the duration of their engagement and seven years afterwards.
- Unsuccessful tutor applications: up to twelve months, then deleted.
12. Security
We hold personal information in password-protected systems with access limited to the people who need it. Our providers use encryption in transit and at rest. No system is completely secure, but if a data breach occurs that is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as required.
13. Access, correction & deletion
You can ask us for a copy of the personal information we hold about you or your child, ask us to correct anything inaccurate, or ask us to delete it. Email admin@stellarstudytutoring.com and we will respond within 30 days. There is no charge. We may need to verify your identity first, and we may need to keep some records where the law requires it.
14. Complaints
If you think we have mishandled your personal information, email us first and we will investigate and respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
15. Changes to this policy
We may update this policy from time to time by publishing a new version on this page. The date at the top shows when it was last changed.
Email admin@stellarstudytutoring.com and we will get back to you.
